How call forwarding works with an AI receptionist
Keep your number and choose exactly which calls an AI receptionist answers. How forwarding works, the four common setups, and how to test it.

The most common worry business owners have about an AI receptionist is that it means changing their phone number, their phone system, or the way their team works. It doesn't have to. For most businesses, the connection is a feature their phone already has: call forwarding.
What call forwarding does
Call forwarding tells your carrier or phone system to send incoming calls to another number. When a customer dials your business, the call is routed to your AI receptionist — and the customer never notices a difference. They call the same number they always have.
The four common setups
- Forward every call. The AI receptionist becomes your front desk. Common for owner-operators who are rarely at a desk.
- Forward after hours. Your team answers during business hours; nights, weekends, and holidays go to the receptionist. Many phone systems can switch this on a schedule.
- Forward when busy or unanswered. Your phone rings first. If no one picks up after a few rings, or the line is busy, the call moves to the receptionist instead of voicemail.
- Use a dedicated number. A separate number — for an ad campaign, a second location, or a new service line — that the receptionist answers directly.
Where to turn it on
How you set up forwarding depends on your phone service:
- Cell phones: usually in your carrier's app or account settings, or with a short dial code. Most major carriers also support forwarding only when you're busy or don't answer.
- Landlines: typically through your carrier, using dial codes or a quick request to their support team.
- VoIP and cloud phone systems: in the admin dashboard, often with schedules and business-hours rules built in.
- Advanced phone systems: a SIP connection can route calls directly, without forwarding at all.
Test it before you rely on it
- Call your business number from a different phone and confirm the receptionist answers — or that your phone rings first, if you chose busy/no-answer forwarding.
- Try a few typical calls: a new customer, a common question, an urgent request.
- Check that the text and email summaries arrive where you expect them.
- Make sure you know how to turn forwarding off. You stay in control of it.
The bottom line
You don't need a new number or new hardware. Forwarding lets you decide exactly which calls an AI receptionist handles, and you can change that decision whenever you like.
