FAQ
Questions, answered.
The basics
What is Ring First?
Ring First is an AI receptionist for your business phone. It answers your calls with a natural-sounding voice, talks with callers the way a well-trained front desk would, captures their information, and sends your team a summary — at any hour.
Does it really sound natural?
Yes. It speaks conversationally, handles interruptions, and responds in real time. The fastest way to judge is to hear it yourself — book a live demo and we'll put it on the line for you.
Will callers know they're talking to an AI?
Many callers simply get what they need without thinking about it, but we recommend being upfront. Your receptionist can introduce itself as your virtual receptionist, and we'll help you choose a greeting that fits your business.
What happens when it doesn't know the answer?
It doesn't make things up. It answers from the information you've given it. When a question falls outside that, it says so, takes a detailed message, and — if you want — transfers the call or flags it for a fast callback.
Is it really available 24/7?
Yes — nights, weekends, and holidays. You can also use it only after hours, only when your team can't pick up, or for every call. Most businesses start with whatever hurts most today.
Setup & your phone
Do I need a new phone number?
No. Most businesses keep their existing number and forward calls to Ring First — every call, only after hours, or only when no one answers. Call forwarding works with cell phones, landlines, and most business phone systems. If you'd like a dedicated number instead, we can provide one.
Do I have to change my CRM or other software?
No. The simplest setup needs nothing but call forwarding: Ring First answers, and you get a text and an email after each call. Calendar, CRM, and automation connections are optional add-ons, and nothing is connected to your systems without your approval.
How long does setup take?
It depends on what you want it to handle. A straightforward setup — answer, capture, and notify — moves quickly. Calendar booking, transfers, and integrations take a bit longer. We'll give you a clear timeline on our first call.
What do you need from me?
Your services, hours, service area, the questions customers usually ask, the details you want collected from callers, and who should be notified. We turn that into your receptionist's configuration and test it with you before it goes live.
Can I change how it works later?
Yes. Greetings, questions, routing rules, and answers can all be updated as your business changes. Tell us what you'd like different and we'll take care of it.
Calls & capabilities
Can it book appointments?
Yes. Connected to your scheduling tool, it checks real availability and books the appointment during the call. If you'd rather confirm appointments yourself, it collects the caller's preferred times and sends them to you instead.
Can it transfer calls to my team?
Yes. You choose when a call should go to a person — emergencies, existing customers, someone asking for a specific team member — and where it should ring. If nobody picks up, it takes a detailed message so nothing is lost.
How do I get the information from each call?
After every call you can get a text and an email with the caller's details, the reason for the call, and the full transcript. With an integration, the same details can flow straight into your CRM.
Does it speak Spanish?
It can. Receptionists can be configured for English, Spanish, and other supported languages. Tell us about your callers and we'll set it up accordingly.
Can it handle more than one call at a time?
Yes. Unlike a single front desk, it can answer several calls at once, so a busy morning doesn't mean busy signals or voicemail.
Privacy & data
Are calls recorded?
Calls can be recorded and transcribed so you have a complete record. You decide whether recording is on, and your greeting can include a recording notice — something we recommend, and which some states require.
Who can see my call data?
You, and the Ring First team members who support your account. We use call data to deliver and improve your service, and we don't sell it. Our privacy policy has the details.
Working with Ring First
How much does it cost?
Every business is different, so plans are tailored to your call volume and what you want your receptionist to handle. We'll walk through options once we understand your business — usually on the first call.
Can I try it before I commit?
Yes — book a live demo and you'll hear it handle a real conversation on the call. We'll also show you how it would handle calls for your business specifically.
What kinds of businesses do you work with?
Any business that relies on inbound calls: home services and trades, healthcare and wellness, legal and professional services, real estate, property management, automotive, and local businesses of every kind.
