Ring First

How it works

Here's exactly what happens when your phone rings.

No mystery, no jargon. A customer calls, Ring First answers and handles the conversation, and your team gets everything it needs to follow up — usually before the caller has put their phone away.

The call

The life of a call, step by step.

  1. 01 / 08

    A customer calls

Your existing number rings through to Ring First — for every call, after hours, or only when your team can't pick up.

  2. 02 / 08

    Ring First answers

On the first ring, with your business name and your greeting. No hold music, no phone tree, no voicemail.

  3. 03 / 08

    A real conversation

Callers talk normally. They can interrupt, change their mind, or ask a follow-up — and the receptionist keeps up.

  4. 04 / 08

    It understands the request

A new job, a quote, a reschedule, a question about hours, an emergency — it recognizes why they called and responds the way you'd want.

  5. 05 / 08

    It gathers the details

Name, number, address, service needed, timing, urgency — whatever your business needs to act on the call.

  6. 06 / 08

It takes the right next step

Answers the question, books the appointment, or transfers the call when a person should take it.

  7. 07 / 08

    You get the summary instantly

A text and an email with who called, what they need, and the full transcript — seconds after the call ends.

  8. 08 / 08

    Your team follows up

With everything in hand, you call back prepared — not cold — while the customer is still ready to buy.

Your phone

How calls reach Ring First.

You keep your number. Calls are forwarded to Ring First using the call forwarding built into virtually every cell phone, landline, and business phone system — no new hardware. Choose the coverage that fits.
  • Every call

Ring First becomes your front desk. Ideal if you don't have one, or yours is overloaded.

  • After hours

Your team answers during the day; Ring First takes nights, weekends, and holidays.

  • When you can't pick up

Calls ring your phone first. If nobody answers or the line's busy, Ring First takes it.

  • A dedicated number

Use a new number for ads, campaigns, or a second location — answered by Ring First.

Not sure which is right? Most businesses start with after-hours and overflow coverage, then expand once they've seen the summaries come in. We'll walk you through setting up forwarding with your carrier or phone system.

How we work

We set it up with you.

You're not handed a login and left to figure it out. We learn how your calls work, configure your receptionist, and refine it with you until it sounds right.
  1. 01

    Talk to us

A short conversation about your business, your callers, and what you want handled. We'll show you the receptionist live.

  2. 02

    We configure your receptionist

Your greeting, services, hours, FAQs, the questions to ask, and where each kind of call should go. We do the setup work.

  3. 03

    Test it yourself

Call it. Try to trip it up. Tell us what to change. We refine it until it sounds like your front desk on its best day.

  4. 04

    Go live

Forward your calls and start getting summaries. We stay on to tune it as your business and your callers change.

Every business is different. We'll configure your receptionist around your calls, your workflows, and your goals.

Getting ready

What we'll ask you for.

Setup is a conversation, not a form. Here's what we'll cover together so your receptionist sounds like it's worked at your business for years.
  • The services you offer — and the ones you don't
  • Your hours and service area
  • The questions customers ask most
  • The details you want collected from every caller
  • What counts as urgent, and who to alert
  • Who gets the summaries, by text and email
  • When a call should go to a person (optional)
  • Your scheduling tool, if you want booking (optional)

Simple by design

You don't need to rebuild your business to use Ring First.

No new software for your team. No one rewiring your CRM. No change to how you work. Ring First answers your calls and sends you what you need — and that's it, until you want more.

Start simple

Where most businesses start

Forward your calls. Ring First answers. You get the details by text and email. Nothing else to set up.

  1. Customer calls
  2. Ring First answers
  3. Text + email summary
  4. You follow up
  • Keep your current number
  • Nothing to install or log into
  • Configured and tested for you

Add more when you're ready

Connect deeper only when it earns its place. Every add-on is optional.

  • Books appointments
  • Confirms the details
  • Live transfers to your team
  • Call routing rules
  • Urgent call escalation
  • Texts the caller mid-call
  • Automated follow-up
  • Calendar integration
  • CRM integration
  • Webhooks & API
  • Custom call flows
  • Multilingual conversations

Nothing touches your systems without your sign-off. If you never want an integration, you never need one.

  • Your systems stay yours

We only connect to tools you approve, with the access you choose. The simplest setup connects to nothing at all.

  • You stay in control

Call forwarding is set on your phone or phone system. Change when calls come to Ring First whenever you like.

  • Your team works the same way

No new app to learn, no new process. They just get better information, faster.

Setup questions

Common setup questions.

All questions

Do I need a new phone number?

No. Most businesses keep their existing number and forward calls to Ring First — every call, only after hours, or only when no one answers. Call forwarding works with cell phones, landlines, and most business phone systems. If you'd like a dedicated number instead, we can provide one.

Do I have to change my CRM or other software?

No. The simplest setup needs nothing but call forwarding: Ring First answers, and you get a text and an email after each call. Calendar, CRM, and automation connections are optional add-ons, and nothing is connected to your systems without your approval.

How long does setup take?

It depends on what you want it to handle. A straightforward setup — answer, capture, and notify — moves quickly. Calendar booking, transfers, and integrations take a bit longer. We'll give you a clear timeline on our first call.

What do you need from me?

Your services, hours, service area, the questions customers usually ask, the details you want collected from callers, and who should be notified. We turn that into your receptionist's configuration and test it with you before it goes live.

Can I change how it works later?

Yes. Greetings, questions, routing rules, and answers can all be updated as your business changes. Tell us what you'd like different and we'll take care of it.
