We collect only what we need to respond to you and run our services, we never sell it, and we're clear about how calls to our demo line are handled.

Who we are and what this covers

This policy explains how Ring First (“Ring First,” “we,” “us”) handles personal information collected through this website, our consultation request form, and our demo phone line.

When we provide our AI receptionist service to a business, information about that business's callers is processed on the business's behalf under our agreement with them. If you called a business that uses Ring First, please contact that business with questions about how your information is handled.

Information we collect

Information you give us

When you request a consultation we collect what you enter: your name, business name, email address, phone number, website, industry, team size, approximate call volume, current phone setup, what you'd like the receptionist to handle, your contact and meeting preferences, and any notes you add.

Demo line calls

When you call our demo line, the call is answered by an AI system that processes your voice in real time. We and our service providers receive your phone number (caller ID) and the content of the call, and calls may be recorded, transcribed, and summarized. You don't need to give real information on the demo line, and you shouldn't share sensitive personal information there.

Information collected automatically

Like most websites, our hosting and security providers process technical information such as your IP address, browser type, and the pages you request. With your consultation request we also record the page you submitted from, the website that referred you (domain only), campaign tags in the link you followed, and your time zone. For spam and abuse prevention we store only a salted, one-way hash of your IP address — never the address itself.

Cookies and analytics

We use cookies that are strictly necessary for the site to work, such as keeping our own staff signed in to our admin tools. We may use privacy-focused analytics to understand how visitors use the site in aggregate. We do not use advertising cookies or sell data to advertisers.

How we use information

  • To respond to your consultation request and schedule and hold the conversation you asked for.
  • To understand your business so we can recommend and configure a receptionist for it.
  • To send messages related to your request, such as a confirmation email and follow-up about next steps.
  • To operate, demonstrate, secure, and improve our website, demo line, and services.
  • To detect and prevent spam, fraud, and abuse.
  • To comply with legal obligations and enforce our terms.

How we share information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share information only:

  • With service providers who help us run our business — such as website hosting, databases, email and text-message delivery, telephony and voice-AI processing, scheduling, customer relationship management, and analytics — who may use it only to provide services to us.
  • When required by law, or to protect the rights, safety, and security of our users, our business, or others.
  • In connection with a merger, acquisition, or sale of assets, subject to this policy.
  • With your permission.

Call recording

Calls to our demo line may be recorded and transcribed. By continuing a call to the demo line, you consent to this. If you don't want your call recorded, please don't call the demo line — request a consultation instead and we'll arrange a live walkthrough.

How long we keep information

We keep consultation requests for as long as needed to respond to you and to maintain records of our business relationship, and then delete or anonymize them. Demo call recordings and transcripts are kept only as long as needed to operate, demonstrate, and improve the demo. You can ask us to delete your information at any time.

Security

We protect information with measures such as encrypted connections (HTTPS), restricted access to our systems and data, hashed rather than stored IP addresses, and rate limiting. No method of transmission or storage is completely secure, but we work to protect your information and will notify you of a breach where the law requires.

Your choices and rights

You can ask us to access, correct, or delete the personal information we hold about you, or to stop contacting you. Depending on where you live, you may have additional rights under local law, such as the right to know what we collect and how it's used, and the right not to be discriminated against for exercising your rights.

Children

Our website and services are intended for businesses and are not directed to children under 16. We do not knowingly collect their personal information.

Changes to this policy

We may update this policy from time to time. We'll change the “last updated” date above and, for significant changes, take additional steps to let you know.
